A practical pneumatic parts quotation checklist starts with line-by-line identity, not the total at the bottom. Confirm that the response covers the products you requested, in the intended quantities and units, and clearly distinguishes agreed details from unresolved ones.
This guide is for reviewing a quotation already received. To prepare the initial request, use the separate RFQ checklist. The two documents serve different stages: one expresses a requirement; the other records the supplier’s proposed response. Neither should be silently substituted for the other.
Pneumatic Parts Quotation Checklist: Match Every Requested Line
Place the original parts list beside the quotation. Retain the buyer’s row reference and map it to the supplier’s line, even if the supplier has sorted items differently.
For each line, compare the full model, product group, relevant material description and connection requirements. Ordinary PC and stainless PC are not the same source entry. Nor should a C-type PM be accepted as a response to a bulkhead PM simply because the letters match.1
Use one of four review outcomes: matched, proposed alternative, information required or not quoted. “Not quoted” is not the same as “free,” and a missing line should not disappear when totals are compared.
Here is a hypothetical review example, with no real customer information or prices:
| Buyer row | Requested item | Supplier response | Review outcome |
|---|---|---|---|
| R01 | HVFF hand-valve group; complete specification attached | Correct group referenced, one function detail unanswered | Information required |
| R02 | BSLM flat-head silencer group | No corresponding line | Not quoted—request an explicit response |
| R03 | Tubing specified in metres | Quoted by coil, length per coil not stated | Unit conversion unresolved |
The point is not that those products are problematic. The table shows how to prevent an incomplete response from being mistaken for a complete offer.

Using the Pneumatic Parts Quotation Checklist for Mixed Fittings
The selected fitting-series references add another useful comparison to the earlier example. A quotation can name the correct series while still answering the wrong model or connection requirement.2
| Requested reference | Hypothetical reply | Review result—not a judgment on the actual product |
|---|---|---|
| PCF12-03 | PCF12-04 offered instead | Proposed alternative; keep separate pending technical acceptance |
| PV12, tube-to-tube elbow | PL elbow offered | Different connection description; not a silent like-for-like substitution |
| PU10 connector pieces | PU tubing quoted by length | Different item and unit; correct the response |
| PC8-02 | “PC8” without port/thread clarification | Incomplete model/configuration information |
The selected PCF page contains several references; a single “PCF” quotation line does not automatically cover them all. The PU straight-union page refers to fittings rather than rolls of tube. Keep the model-level review separate from the number of series pages on the website.
Before comparing the order total, also confirm whether all requested models are included, which quantities can be supplied together, and whether packing, documents and transport cover the complete mixed list. No model in this example is assigned a price, minimum quantity, lead time or confirmed compatibility. It illustrates the same identity-first review method used elsewhere in this article.
Check Quantities and Units
A pneumatic parts quotation may use a different sales unit from the buyer’s requested unit. Before comparing amounts, identify the conversion explicitly.
For a piece-based request quoted by pack, ask for the pieces per pack, number of packs and resulting supplied quantity. For tubing quoted by roll or coil, obtain the confirmed length per unit and check any minimum continuous-length requirement. For couplings, distinguish complete matched sets from individual halves.
If a conversion is not established, do not approve the line as equivalent. Arithmetic performed on an assumed packaging factor does not resolve a purchasing mismatch.
After the units are aligned, check the stated calculation basis. As a review method, compare the billed quantity multiplied by the agreed unit price, then apply only the adjustments expressly identified in the quotation. This is a checking framework—not a requirement that every supplier uses the same discount, freight or tax layout.
Do not compare two suppliers’ totals until their quoted scope and units are comparable. A lower figure for fewer items, a different material or a partial list is not automatically a better offer.
Review Included and Unconfirmed Items
Keep quotation model information connected to the commercial conditions. Ask which documents, packing details, preparation time and delivery items are included for that specific line or order.
The US International Trade Administration’s pro forma guidance lists product/value details, delivery terms and point, payment conditions, estimated shipping date and validity among the information to record.3 For this article, these are useful review fields—not a prescribed contract or a statement that every quotation has the same legal effect.
Our suggested scope review is:
| Scope item | Question to resolve |
|---|---|
| Product | Does the stated model and version match the requested item? |
| Documents | Are required drawings or material records included, available separately or unconfirmed? |
| Packaging | Is the package unit defined and suitable for the requirement? |
| Product readiness | What event or condition does the stated lead time depend on? |
| Transport | Is freight included, excluded or awaiting a destination? |
| Other charges | Are separately stated charges and responsibilities understandable? |
| Payment | Are the actual agreed arrangements identified? |
| Validity | Until when, and under what stated conditions, does the proposal apply? |
Separate readiness for dispatch from arrival at destination. If a quoted time is unclear, ask which event it describes and what starts the clock. Do not convert an estimated shipment date into a guaranteed arrival date yourself.
For a partial quotation, the response should make its coverage clear. A visible total should not be interpreted as covering unresolved rows merely because those rows appeared in the original RFQ.
Check Validity and Revision
Your pneumatic order requirements can change between inquiry and confirmation. A quantity revision, a new drawing, a different destination or a substituted material may affect the proposal. Ask whether a revised quotation is needed and retain the answer.
Track the quotation reference, revision, issue date and stated validity. If a supplier sends a corrected document, identify which version supersedes which, instead of editing the original PDF and leaving two apparently authoritative files in circulation.
For repeat purchases, reuse the confirmed product identity and previous reference, but do not assume the old price, lead time or document revision still applies. Request confirmation against the current requirement.
Likewise, a catalogue update should not silently rewrite what an old quotation said. Keep the record of the document actually reviewed and the conditions actually proposed.
Ask for Corrections Before Confirmation
A pneumatic quotation review should end with a concise response, not a long email that buries the action items. Quote row references and ask a specific question for each discrepancy.
For the hypothetical example above, a response could be:
R01: please answer the indicated function question against the attached specification. R02: the BSLM requirement has no quoted line; please state whether it remains pending or is not offered. R03: please confirm the length per coil and the resulting total length. Please issue the revised quotation with the original request reference and identify the superseded version.
This wording does not negotiate an unverified specification on the supplier’s behalf. It asks for a traceable answer.
Keep communications private. Do not publish a customer quotation, unit costs, banking details or attached drawings as a blog example. If payment details change, verify them through an established contact route before acting; a changed message alone should not be your only confirmation.
Buyer Questions
Does accepting a quotation mean payment has been made?
No payment should be recorded solely because a quotation was accepted. Treat review, transaction confirmation, actual payment and fulfilment as different records, according to the arrangements between the parties.
What if only some lines are ready to proceed?
Clarify the partial scope explicitly. Identify the included rows and what happens to pending items, rather than allowing silence to imply inclusion or cancellation.
Should an undocumented substitute be accepted because its description sounds similar?
Keep it as a proposed alternative until the relevant technical differences and evidence are reviewed. A commercial quotation does not by itself prove equivalence.
Take the Next Step
When requesting clarification, send the outstanding rows from your pneumatic parts quotation checklist through PneuDock’s Contact route and include the quotation reference and revision. For a new requirement, use Start Your Inquiry with the complete parts list. If a model is ambiguous, resolve its context with the model-code guide before treating the line as matched.
